Executive Assistant to Director, hybrid working, London, £36,000
National charity with a focus on Art needs high level EA to support the Director and also provide some support to the Governance Manager. You will handle a complex diary, a busy inbox, correspondence, papers and presentations and ensure effective stakeholder management. This is a full time permanent role with the option of working one day from home each week. There will be some occasional evening work and some occasional travel within London. Responsibilities will include:
- Managing the Director’s email inbox and diary; draft correspondence for Director
- Booking travel and accommodation
- Signing off and arranging meetings, collating agendas, information and supporting documents as necessary
- Ensuring all requests for the Director’s sign-off are completed
- Ensuring Director briefings are prepared and signed off ahead of public speaking/media events
- Liaising with stakeholders - trustees, Directors, Artists, Politicians, Leaders.
- Researching and producing briefings in collaboration with other colleagues
- Drafting papers and presentations as required by the Director
- Working with the Governance Manager to support the management of Board and Committee meetings and Trustee communications
- Supporting Senior Management and Leadership team meetings - forward planning meeting agendae, circulating papers, taking meeting, following up on actions.
- Contributing to organising staff social events, supporting internal communications, supporting the planning of All-staff meetings and helping with facilities support if the Facilities Manager is away
Experience needed:
- Experience of managing complex and multiple diaries, email inboxes and meeting management and support
- Experience of drafting communications, papers and researched briefs for meetings and events for senior staff
- PA/Executive Assistant experience at Director level with experience of managing projects or coordinating activity across departments
- Excellent communication skills, with attention to detail and the ability to juggle multiple priorities and meet deadlines, by forward planning and being well organised
- Confident using Outlook, Word, Teams and Powerpoint – plus CRM systems
- A good understanding of GDPR and data security and an understanding of charity administration processes for example governance and fundraising regulation
- An understanding of the art, museum and wider cultural sector
