Executive Assistant, Temporary, Higher Education, London, £21.90 per hour plus holiday pay
Highly interesting Higher Education provider in the Medical World with a global reputation needs capable Executive Assistant on a temporary basis to join the Executive Office. You will be experienced in executive support with the ability to manage complex itineraries in multiple global locations. You will also have a good understanding of the national and global environments the Executive Office operates in. In addition to day to day responsibilities (diaries, Administration, providing administration support to enable the smooth running of strategic projects) you will efficiently manage designated elements of the Executive Office budgets.
Responsibilities will include:
- Providing outstanding administrative support to two members of the Executive Team and members of their senior teams
- Managing the Executives’ schedules
- Complex diary management and travel logistics
- Liaising with colleagues to provide high quality briefings, horizon scanning and forward planning
- Managing correspondence, assessing priorities and escalation needs
- Drafting correspondence
- Dealing with highly confidential issues which can include human resources related issues
- Writing reports, papers, briefings, articles and other documentation and presenting these as and when required
- Undertaking research and analysis, preparing high quality data reports and briefing materials, and making recommendations to senior leaders on complex issues to enable informed and timely decisions
- Collating, summarising, analysing, interpreting and presenting internal and external data from various sources
- Making logistical arrangements for key meetings
- Collating and distributing papers, drafting minutes, following up and tracking actions
- Manage designated elements of the Executive Office budget., including forecasting, monitoring income and expenditure approving expenditure and making decisions based on best value for money for the School
- Ensuring expenses and credit card reconciliation is done on time and following policy
- Managing electronic filing systems in SharePoint to enable efficient and collaborative working
- Providing secretariat support to working groups as required, scheduling meetings and working with relevant senior colleagues to shape the agenda and drive actions according to strategic priorities
- Managing projects and events independently, working collaboratively with colleagues within and beyond the Executive Office
Experience needed:

- Excellent organisational and interpersonal skills - able to command the trust and confidence of a range of stakeholders
- Effective problem-solving skills and the ability to prioritise
- An interest in the Higher Education sector with a commitment to making a positive impact
- Undergraduate qualification at Higher Education level or equivalent
- Proven and extensive experience of supporting a senior executive, including organising and streamlining the workload and timetable of a busy senior professional
- Diary management and effective prioritisation techniques
- Experience of servicing committee meetings would be useful
- Agenda management and managing confidential information
- Organising complex overseas travel programmes would be a plus as would experience of managing projects, writing documents, and managing budgets
