Programme and Finance Administrator, London Arts and Cultural organisation, temp role for 6 to 8 weeks initially, £15.00 per hour plus holiday pay
Leading Arts and cultural organisation needs Programme and Finance Administrator for varied temp role supporting the Programmes and Curatorial function. This is a rewarding role requiring the ability to build positive relationships with stakeholders, first class communication skills and a keen eye for detail when processing invoices.
Responsibilities include:
- Supporting Programmes and Finance, Curatorial
- To help with the coordination and communication of the artistic programme schedules and process
- To support with the project management for exhibitions, displays and commissions
- To support, with information, the development of programme and schedules at proposal stage
- To help with budget management and assist with ensuring resources and skills are available to deliver the programmes on time and to budget
- To support the departmental Business Continuity Plan, Risk Register, Risk Assessments and act as a point of contact for Health and Safety
- To become a contact on department accounting processes
- To help with the financial reporting cycle for the Curatorial department across monthly reconciliations, quarterly reforecasts and year end, ensuring budgets are managed accurately and effectively
- To process invoices regularly in a timely fashion
- To monitor and report on the income and expenditure for the department, collating and providing management information to the Senior Team and Finance and developing and maintaining forecasting documents to aid accurate forecasting
- To liaise with colleagues in Finance to understand any changes in policy and keep divisional colleagues up to date to ensure compliance
- To liaise with Development and Finance on the allocation and management of fundraising income
- To provide financial updates for regular funder reporting
- To be involved in the budget overview process for each exhibition
- To administer, attend, record and share decisions from project budget and exhibition meetings
- To support the Head of Programme Management with the effective planning and delivery of the curatorial programme of exhibitions and displays
- To support the Director in the decision making process on agreeing exhibition proposals
- by providing scheduling scenarios
- To contribute to the planning, monitoring and evaluation of exhibitions and displays schedules
- To liaise with colleagues to gather schedule information, highlight scheduling questions requiring resolution, and organise ad hoc schedule planning meetings
Experience needed:
- Ideally some experience of project management
- Working knowledge of Unit 4 Agresso
- Good numeracy and business planning skills, including financial
- Effective verbal and written communication skills
- Excellent administrative and organisational skills, with the ability to prioritise and multi task in order to meet deadlines and work well under pressure
- Strong analytical skills and experience in writing, collating and sharing key information, ensuring the delivery of key objectives
- Minute taking
- Financial planning, working within budget and to deadlines
- A proactive and flexible communicator
- An interest in the Arts and Cultural world
