Senior Residential Property Manager, Property Management, Permanent, Central London, £48,000-£55,000 plus benefits
Well-established and growing Property Management Company based in Central London requires a Senior Property Manager. This is a great career step working within a very friendly and successful team and you will be handling long leasehold block management of approx. 15 residential blocks.
Typical office hours are 8.30am to 6.30pm (or as advised) and an out of hours emergency helpdesk service is provided at all other times.
You will take responsibility for:
- Handling all correspondence promptly, to include all residential enquiries, requests and complaints via telephone/e-mail/letter
- Ensuring regular proactive communication with Leaseholders
- Management of Section 20 consultation procedures, including creating and sending formal Notices for both QLTAs and major works within required timescale and using correct formats.
- Responding to any observations received as required
- Ensuring that any Section 20b Notices are issued within deadline as required
- Ensuring that correct Notices are served with Service Charge and Ground Rent demands and that demands are served at the correct times
- Preparing budgets and estimates to incorporate provisions for maintenance of the structure and fabric of the property and associated common parts and services
- Preparing and circulating explanatory budget packs prior to commencement of Service Charge year
- Preparing and circulating end of year audited Service Charge accounts and explanatory packs
- Working with the Accounts team to chase arrears, liaising with solicitors and reporting to the Client
- Inception and project management of external and internal refurbishment schemes or any other major works and raising of any additional fee invoices
- Preparing and advising on planned maintenance programmes for buildings to ensure they are maintained to the best standard; to cover major projects such as internal or external refurbishments, roof works or works to the communal heating system etc, and advising on Reserve Funds to be collected accordingly
- Client liaison, including regular meetings and reporting on a quarterly basis or as required
- Organising and attending evening resident meetings and taking and circulation of Minutes
- Management of onsite Porters/Caretakers/Concierge and Receptionists, to include any disciplinary or performance matters, pay issues, dealing with overtime and holiday requests and resulting paperwork and annual bonuses/salary reviews
- Instructing and liaising with contractors/suppliers and following up on works (contractor management), raising a Purchase Order and instructions for each job Claims handling - notifying brokers of new insurance claims, upkeep of insurance claims spreadsheet and management of insurance claims process – submitting quotations and invoices to insurers, allocating reimbursement cheques to correct claims and closing claims
- Dealing with all sales/re-mortgaging enquiries from solicitors and raising fee invoices as appropriate
- Receiving applications from Leaseholders in respect of assignments, sub-lettings and alterations, analysing such applications and reporting to the Client
- Dealing with all Licences to Alter, administration of required paperwork and raising fee/deposit invoices as appropriate
- Liaising with building surveyors on projects/problems as appropriate
- Ensuring that properties comply with all Health and Safety (including fire, asbestos and water hygiene) regulations and organising all necessary periodic surveys, risk assessments and inspections and any resulting remedial works
- Carrying out regular inspections to ensure the provisions of the Lease are complied with and that the portfolio is in good repair and in good condition; keeping of records and reporting on a regular basis.
- Ensuring that resulting repairs are carried out
- Attending to any emergency relating to the portfolio consistent with the appointed duties
- Issuing keys, maintaining key log
- Providing input for any pitches or new Client presentations and attending these
- Drawing up management proposals
- Handling queries from visitors to the office or calls when needed
Skills and requirements
- Five years block management experience
- MS Office (Excel/Word), Outlook
- Full understanding of Section 20 consultation procedures and required formats, including recent Francis vs. Phillips ruling
- Full understanding of all other 1985 and 1987 Landlord and Tenant legislation
- Ideally TPI qualified
- Understanding of Health and Safety issues
- Staff management
- First class interpersonal skills with good time management
