Team Assistant, Surveyors, permanent, London, hybrid working, £30,000-£35,000
Specialist Surveyors need proactive Team Assistant to support friendly colleagues. This established and growing company is works on complex projects in London and the UK and they work hybrid from their London office. Responsibilities include:
- Working closely with teams and Directors taking on project and finance administration
- Working with the other Team Administrators to ensure the smooth running of the office
- Co-ordinating meetings and collating reports and project materials
- Setting up new projects, tracking enquiries, chasing fee proposals and tracking conversions
- Updating and maintaining database for all projects, plus project tracker
- Liaising with clients on invoicing details and liaising with external suppliers
- Supporting Directors - inbox and diary management and some client liaison
- Responding to phone queries and record keeping of documents
- Report drafting and formatting, collating PDFs, proof-reading, preparing document bundles for appeals
- Credit control, reconciling costs, managing Purchase Orders and invoicing
You will need:
- A proactive and adaptable approach, with strong attention to detail and the ability to multi task
- Previous administrative or secretarial experience
- Excellent organisational and communication skills with the ability to engage with management, staff and clients at all levels
- Ability to work with minimum supervision and use initiative
- Ability to work in a proactive and demanding role helping the Directors and Surveying Teams to make the best use of their time
