Technical Team Coordinator, Architectural firm, Permanent, Central London, £30,000-£37,000
Our client, a renowned architectural practice, requires a Technical Team Coordinator. You will support technical specialists and communicate with architectural project leaders. The Technical Design Group provide specialist support to the design teams at specific stages of projects. You will work closely alongside other Team Coordinators, ensuring clear communication at all times and contributing directly to the success of the projects. This is a full time permanent position, working 4 days in the office and one day from home.
The main duties of the Technical Team Coordinator are:
- Management of team diaries, setting up meetings
- Inbox management
- Acting as first point of contact for the technical team
- Organising Design Risk Management review meetings
- Organising Technical Team inductions across the different offices
- Arranging peer reviews, gathering relevant information and keeping records
- Arranging meetings, setting agendas, distributing minutes
- Recording supplier information checks
- Liaising with the Finance department and the budget holder to issue questionnaires and check responses
- Uploading useful articles on to the intranet, ensuring that they have strong visibility
- Compiling then tracking the department’s budget
- Providing administrative support for all expenses claims and timesheets
- Checking that suppliers are fully compliant in line with finance requirements
- Maintaining Carbon dashboard for the practice
- Ensuring all sub-contractors are approved by legal and finance
- Aiding in the team’s formal development process, timetabling and advertising speakers
- Help manage holidays/absence
- Arranging couriers, travel, hotels, car hire, trains, visas etc
- Any other ad hoc duties that may be required
- Helping the team update their weekly timesheets and monthly expenses
- Raise purchase order requests and make purchases for the team
- Booking couriers, flights, hotels, car hire, trains, visas and insurance for domestic and overseas travel
- Coordinate team socials
The successful candidate will be motivated, enthusiastic and flexible with a calm and helpful personality and an ability to communicate at all levels. Ideally an innovative spirit, using experience and creativity to find optimum ways of working with and providing support to the team. Proactive, meeting constantly changing deadlines. Strong organisational skills are essential, as is proven team support experience, be educated to A-Level standard or similar, have excellent IT skills including advanced knowledge of Microsoft packages; Outlook, Word, Excel, PowerPoint - Adobe InDesign, PowerPoint and Photoshop preferred. In addition fast, accurate Touch Typing - minimum speed 60wpm.
